Accountability and good governance is one of the challenges for all organisations to be sustainable. It also supports efforts to achieve the organisation's mission so that it can run effectively and efficiently. One of the things done is the preparation of strategic planning with a systematic and structured thought process. The preparation process was carried out by the Women's Development Centre (P3W) of the Evangelical Christian Church in Tanah Papua facilitated by the SHEEP Indonesia Foundation. The initial stage began with conducting an external evaluation process and preparing P3W Strategic Planning for the period 2023-2027.
The external evaluation used Appreciative Inquiry (AI) and DAC methodologies (looking at relevance, effectiveness, efficiency, impact and sustainability). In the AI method, YSI and P3W seek to explore what changes strengthen positive messages and focus on learning from the successful implementation of the P3W programme.
The external evaluation also involved 150 participants in conducting guided discussions and interviews, with several stakeholders. There were 7 parties from the government, CSOs, Networks as many as 5 parties, the Klasis Executive Board of 4 parties and the GKI TP Synod Executive Board of 7 parties; according to the head of the Sorong district education office who was also present at the activity "The role of P3W is very crucial for empowering women and improving the quality of the Papuan generation". Interesting things in the dynamics of the discussion resulted in the conclusion that the coverage of the GKI TP service area (the parent that houses P3W) which requires the diaconal role of P3W is still very broad, for this reason, solid synergy is needed between P3W and other organisational devices within the GKI Synod, so that the diaconal task really reaches the marginalised GKI congregations. The Executive Board of the GKI Synod in Tanah Papua as the supra structure of the GKI P3W needs to review and ratify the mandate of P3W and other organisational tools, and support synergy for resource efficiency, strategy effectiveness in order to expand the reach of GKI TP diakonia services.
In the follow-up session, P3W GKI immediately carried out the preparation of a strategic plan through an interactive method using 3 methods, namely: role play, video and painting. The staff's initial assumption that the Strategic Planning stage would be very heavy and boring was not felt at all.
"At first I didn't understand what the flow of the Strategic Plan discussion was like, just following a dynamic and fun process! It turns out that strategic planning is developing a plan that becomes the basic direction for the institution to carry out its programmes. And this is a very important process for all staff to understand" said one of the staff;
They also said that the AI Methodology with the SOAR analysis approach (Strength: Strength; Opportunity; Aspiration and Result) is a new thing that can encourage active participation of staff in P3W Strategic Planning.
"When developing a role play to illustrate P3W's vision, I got a clear view of how the vision must be strong and inspire every movement of the institution".
The 10-day process resulted in the P3W mandate document which will then be derived in the formulation of work programmes.
